How to use the Scheduling Assistant to view and book Vehicles
If you want to view the availability of a company vehicle and book it for use, you can use the Scheduling Assistant from Outlook.
1. Open the Outlook app.
2. Navigate to the Calendar icon at the bottom left hand side of the window.
3. Select the New Meeting button in the top ribbon.
4. Then find the tab titled Scheduling Assistant and click it.
5. Then, on the right hand side, there will be options to Add optional attendee, Add required attendee, and Add resource. Click into Add resource and start typing the word Vehicle. This will bring up all of the company vehicles we offer and you can then choose the one you want. You can add as many or as little vehicles as you want to view, and their calendars will then be visible to the right of their names in a row.
6. After the vehicle you want is added, you can view their availability and use the calendar at the middle of the screen to navigate to a specific day that is needed and select the time duration as well.
7. If all you wanted to do was view their availability, you are done! If you want to then book the car, make sure that the car you want is checked, and if you chose to view multiple vehicles that only one is checked, and then simply press Send after selecting an available time. You can name the meeting as well, which could include your first and last name, as well as what it will be used for, such as a job name.
IMPORTANT: If you chose to view multiple vehicles at a time, make sure that only one vehicle is checked when you press Send to avoid booking multiple cars.
